Position Overview:

The Assistant Property Manager for Tax Credit Property supports the day-to-day operations of an affordable housing property that participates in the Low-Income Housing Tax Credit (LIHTC) program. This role will assist with tenant management, lease compliance, rent collection, property inspections, and ensure adherence to all tax credit regulations. The Assistant Property Manager will work closely with the Property Manager to maintain high standards of property operations while ensuring legal and regulatory compliance.

Key Responsibilities:

  1. Tenant Relations & Leasing:

    • Assist with leasing activities, including conducting property tours, answering questions, and processing applications for prospective tenants.
    • Support in screening tenants and ensuring they meet the eligibility requirements for the Tax Credit program.
    • Assist in preparing and managing lease documents, renewals, and move-in/move-out procedures.
    • Handle tenant inquiries and issues, ensuring a high level of customer service and tenant satisfaction.
    • Coordinate and manage tenant recertifications, lease renewals, and ensuring timely submission of required documentation.
  2. Compliance with Tax Credit and Legal Regulations:

    • Assist the Property Manager in ensuring the property complies with all state and federal Low-Income Housing Tax Credit (LIHTC) program regulations, including tenant income eligibility, rent limits, and occupancy requirements.
    • Ensure timely completion of tenant certifications, including annual income recertifications, and documentation for LIHTC compliance.
    • Stay up to date on all tax credit compliance requirements, fair housing laws, and relevant property regulations.
    • Assist with preparing for property inspections and audits, ensuring all required documentation is complete and accurate.
  3. Rent Collection and Financial Administration:

    • Assist in rent collection efforts and ensure that all payments are processed accurately and on time.
    • Track tenant payment histories and follow up with overdue accounts or late payments as necessary.
    • Assist the Property Manager in budgeting, preparing financial reports, and maintaining accurate accounting records for the property.
    • Help with the preparation and submission of monthly or quarterly financial reports to the management team.
  4. Property Maintenance & Inspections:

    • Coordinate maintenance requests and work with the maintenance team to ensure the property is well-maintained and all tenant concerns are addressed promptly.
    • Assist with conducting routine property inspections to ensure compliance with health, safety, and maintenance standards.
    • Ensure that work orders for repairs and preventive maintenance are submitted and followed through in a timely manner.
  5. Administrative Support:

    • Provide administrative support to the Property Manager, including maintaining tenant files, ensuring all required documentation is up to date and organized.
    • Maintain communication with tenants about important notices, such as changes in policies or upcoming inspections.
    • Assist in coordinating resident meetings, events, or communications to foster a positive living environment.
  6. Staff Support :

    • Support the Property Manager in overseeing on-site staff (e.g., leasing agents or maintenance workers) to ensure that all duties are completed efficiently and in compliance with company policies.
    • Provide training or guidance to new staff members on tenant eligibility, lease terms, and property regulations.

Qualifications:

  • Education/Experience:

    • High School Diploma or equivalent
    • Minimum of 1-2 years of experience in property management or affordable housing, particularly in tax credit or LIHTC properties.
  • Skills and Abilities:

    • Knowledge of the Low-Income Housing Tax Credit program, including tenant eligibility requirements, rent limits, and compliance procedures.
    • Strong communication and interpersonal skills, with a focus on customer service and tenant relations.
    • Strong organizational skills and the ability to manage multiple tasks simultaneously.
    • Ability to work effectively both independently and as part of a team.
    • Proficiency with property management software (AppFolio) and Microsoft Office Suite.
    • Attention to detail and the ability to manage confidential information.

Physical Requirements:

  • Ability to conduct property inspections and walk the grounds.
  • Ability to sit, stand, or walk for extended periods during office hours or property tours.

Additional Requirements:

  • Valid driver’s license and reliable transportation
  • Availability to work occasional evenings or weekends for tenant move-ins, events, or property inspections.
